Summary
The Project Coordinator provides critical support for projects and programs within an assigned Region or Division. Working closely with the Project Manager and field teams, this role supports day-to-day operational functions and ensures projects align with Henkels & McCoy (H&M) standards and methodology. The Project Coordinator will develop a thorough understanding of major H&M business components and their operational impact while upholding all safety and quality management protocols.
Key Responsibilities
The Project Coordinator is an active participant throughout the project life cycle, providing accurate and timely reporting, documentation, and coordination for internal stakeholders and clients. This role helps ensure that team goals, processes, and relationships support high-performance expectations and align with company strategy. The ideal candidate leads by example, promotes accountability, and communicates with clarity and professionalism.
Primary Duties
Support the overall management of project activities and deliverables throughout the project life cycle.
Prepare, maintain, and distribute project reports and contract-related documents.
Recommend and assist with continuous improvement initiatives and process enhancements.
Perform general office administration functions to support project operations.
Set up work orders within the MRP system.
Review and submit timesheets to payroll.
Claim production units and maintain related tracking.
Enter purchase requisitions and monitor purchase order spend.
Collect subcontractor and material tickets for accrual.
Prepare and process project invoices.
Attend department project/financial meetings and provide updates as required.
Collaborate with project teams to ensure timely and accurate project documentation.
Utilize MS Office Suite (Excel, Word, Outlook) for reporting, tracking, and communication.
Ability to remain in a stationary position for extended periods (e.g., sitting at a workstation).
Frequent use of standard office equipment such as computers, phones, copiers, and scanners.
Ability to occasionally lift up to 20 pounds (documents, office supplies, etc.).
Ability to walk through construction sites as needed, which may involve uneven surfaces or outdoor conditions.
Must be able to communicate clearly with team members in both office and field environments.
Primary work performed in an office setting.
Occasional visits to field job sites, which may involve exposure to weather, noise, and construction-related hazards, following all safety protocols.
Minimal travel required.
Occasional travel to local job sites, company meetings, or training sessions may be necessary.
Required Skills & Qualifications
2–5 years of general office administration experience.
Proficiency in MS Office Suite (Excel, Word, Outlook).
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Excellent written and verbal communication skills.
High attention to detail and strong teamwork orientation.
Exposure to a construction or utility field office environment preferred.
Education
High school diploma or equivalent required.
Some college or advanced coursework preferred.
